How do I edit an existing vehicle?

Within Capture Expense, you can edit default Vehicle records by updating the options. You can also add/update cumulative or non-cumulative rates. You can then export the Rates data or import new Rates in bulk.
 

To Edit the Default Vehicle

1. Open the editable vehicle view.

  1. Navigate to the Vehicles page. 
    Go to Setup> Overview> Vehicles & Rates or Setup> Vehicles
  2. Click the Edit icon in the Vehicle record you wish to update. The Vehicle's details appear.

2. Update the options where necessary.

3. Add a rate to the vehicle.

  1. Click Add Rate.

  2. Create either of the following types of rates:
    Important: You can not create a mixture of Non-cumulative and Cumulative mileage rates. You must delete the Non-cumulative rate in order to create the Cumulative rate thresholds and vice versa.
    1. Enter the Effective from date.
    2. Enter the Rate per Mile.
    3. Click in the Rate Element field. The Element automatically appears.
    4. Click the Save button. The Mileage Rate record is added to the Vehicle record.

    1. Select the Cumulative Mileage Rate option. The Mileage from and Mileage to fields appear.
    2. Enter the Effective from date.
    3. Enter the Rate per Mile.
    4. Click in the Rate Element field. The Element automatically appears.
    5. Enter the start of the Mileage Rate threshold in Mileage from.
    6. Enter the limit of the Mileage Rate threshold in Mileage to, or leave it blank.
    7. Click the Save button. The Mileage Rate record is added to the Vehicle record. 
    8. Add the next Cumulative Mileage Rate threshold. The Mileage Rate records appear in the Vehicles overview.

4. Export/import Rate data 

  1. Export the Rate data about all vehicles or export only the headers.
    Note: This process is similar to exporting Vehicle data. For more information, see How Do I Export Vehicle Data?
  2. Use the template that contains headers only to import the rates by bulk.
