How do I set up commute distance features?

It is standard practice not to claim back expenses for the commute between a claimant's home and office. Within Capture Expense, you can set up the commute features for claimants so that the commute distance can be removed from any Mileage claims created. This is because the claims will automatically enter the travel from the home.

You can perform the following:

  • Set up the commute distance on behalf of the claimant.
  • Specify whether the claimant will be prompted at Sign in to enter their Commute distance.

To set up the claimant's commute distance 

  1. Sign in to Capture Expense.
  2. Navigate to the People records.
    Go to Setup> People.
  3. Select the relevant claimant's record.
  4. Click the Edit button. Their User Account details appear.

  5. Enter the claimant's post code in the Default journey location field.
  6. Enter their post code in the Your place of work field. The Commute distance is automatically calculated.
  7. Click the Save button.
    • The journey details automatically appear in the claimant's preferences in User settings.
    • The details automatically appear when the claimant creates a new expense using the Business Mileage category.

To set up the prompt at sign in for all users

  1. Sign in to Capture Expense.
  2. Navigate to the Accounts tab. The Account details appear.

  3. Select the User must enter a commuter distance on sign in option and save. The next time the claimant signs in, they will receive this prompt in their User settings> Preferences.

Important!

After the claimant has entered their default journey details, they must contact you, their system administrator, to update their details.
