How do I set contractual hours/days?

You can calculate an hourly rate or daily rate at which to assign to holiday pay. This rate is based on the average rate of pay accumulated over several historical periods.
 
When calculating the average rate of pay, Cintra iQ considers:
  1. The number of historical periods required. Twelve weeks is the default period on which to base your calculation, but it can be changed. When an individual has not been employed for the full period set, the calculation takes into account the number of existing periods of pay associated to the individual. 
  2. Relevant pay for each historical period. For more information, see How Do I Determine Relevant Pay? 
  3. Number of contractual hours/days within each historical period. 
To obtain the employee's holiday rate based on the average pay, Cintra iQ divides the total relevant pay, by the total number of contractual hours for the number of weeks/periods as set up in the payroll.
 
 

  Note:

Closed payroll periods: The average holiday rate calculated only takes into account closed payroll periods.Now that you have set up the Average Holiday Rate and Addition Heading requirements for the payroll, you must set up contractual hours/days in order for the holiday pay to be calculated.

 

Setting Contractual Hours

  1. If you want to calculate an Hourly rate, you need to make sure the employee's weekly contractual hours are available.
  2. If you choose to use a Weekly period, the weekly contractual hours will be the divisor.
  3. If you choose to use Periods as the Holiday Pay Periods setting and your payroll is monthly, then the monthly contractual hours are calculated from the employee's working pattern.

 

To set up weekly contractual hours via post history

  Note:

Use this method if your employee(s) has multiple posts and you are using working patterns attached to Post History.

  1. Navigate to the employee's Post History window.
    Go to Cintra iQ: Employee Record> Forms> Post History
  2. Select the Working Pattern tab.
  3. Right-click in the pane. A menu appears.
  4. Select New. The Insert Employee Post FTE form appears.
  5. Enter the From Date.
  6. Enter the To Date.
  7. Select the desired work pattern from the Work Pattern drop-down list.
  8. Enter the Hours Worked Per Week for the Employee. 
  9. Click the OK button. The contractual hours are set.

 

To set up weekly contractual hours via working times

  Note:

Use this method if you are using working patterns for individual employees.

  1. Navigate to the employee's Time Management window.
    Go to Cintra iQ: Employee Record> Forms> Time Management
  2. Within the Non Working Days tab, go to the Work Pattern History pane.
  3. Right-click in the pane. A menu appears. 
  4. Select New. The Insert FTE From Work Pattern form appears.
  5. Enter the From Date.
  6. Enter the To Date.
  7. Enter the Contracted Hours Per Week.
  8. Click the OK button. The weekly contractual hours are set.

 

Setting Contractual Days

If you want to calculate a daily rate, and the Pro Rata Basis for Gross Pay is set to Work Days, then you need to make sure the employee's work pattern is set to reflect the contractual days.
 

To set contractual days

The contractual days are drawn from the employee's Work Pattern set up. Ensure that you select the desired work pattern from the Work Pattern drop-down list in either the Insert Employee Post FTE form in Post History or the Insert FTE From Work Pattern  in Time Management.
